Privacy Policy

1. Who we are
PulseHQ (“PulseHQ”, “we”, “us”, or “our”) provides a multi-tenant social operations and reputation platform for agencies and brands. This Privacy Policy explains how we collect, use, store, and share information when you use our websites, apps, and related services (the “Service”).

2. Information we collect
We may collect the following categories of information:
- Account information — name, email address, password (hashed), company/workspace details, and billing-related identifiers when you subscribe.
- Workspace & team data — clients, roles, assignments, notes, tickets, and settings you create in PulseHQ.
- Connected platform data — content and metadata obtained from third-party platforms you authorize (for example Facebook Pages, Instagram Business or Creator accounts, LinkedIn, Google Business Profile), such as posts, comments, messages, reviews, media, insights, and account identifiers needed to sync and publish.
- Usage & device data — log data, IP address, browser type, approximate location derived from IP, and product analytics events that help us operate and improve the Service.
- Support communications — messages you send to us for help, sales, or verification.
3. How we use information
We use information to:
- Provide, secure, and improve the Service (inbox, publishing, analytics, reviews, reporting).
- Authenticate users, manage workspaces, and enforce plan limits.
- Sync and display connected-platform content you authorize, and send replies or posts on your behalf.
- Generate sentiment insights, priorities, and client-facing reports within your workspace.
- Process payments, prevent fraud/abuse, and comply with law.
- Communicate about product updates, security notices, and support.
We do not sell personal information. We do not use Facebook or Instagram Platform Data to build advertising audiences for unrelated third parties.
4. Platform Data (Facebook / Instagram / Meta)
When a client or agency connects a Facebook Page or Instagram Business/Creator account via Meta OAuth, PulseHQ may receive Platform Data from Meta. We use that data only to enable PulseHQ features for the authorizing business, including:
- Unified inbox for comments, mentions, and messages
- Publishing and scheduling content to connected destinations
- Analytics, insights, and reporting for the client’s own assets
- Sentiment scoring and prioritization of interactions
- Team collaboration (assignment, notes, tickets) inside the client’s workspace
Platform Data is scoped to the client’s PulseHQ workspace. Agencies may access a client’s connected data only when authorized as members of that workspace. Clients can disconnect Meta accounts at any time; we then stop new syncs and respect token revocation.
Our use of Platform Data complies with Meta’s Platform Terms, Developer Policies, and applicable data protection requirements. We do not transfer Platform Data to another app or unrelated service except as needed to operate PulseHQ for that client (for example hosting/infrastructure processors under contract) or as required by law.
5. Google and other integrations
If you connect Google Business Profile or other providers, we process review content, ratings, and related account metadata to sync reviews, enable replies, and power reputation analytics for your workspace, under the same principles: authorized use only, workspace scoping, and no sale of that data.
6. Sharing of information
We may share information with:
- Service providers who host, process payments, send email, or provide infrastructure under contractual confidentiality and security obligations.
- Workspace members you invite (admins, editors, agents) according to roles you configure.
- Platform partners (e.g. Meta, Google) when you take actions that require calling their APIs (reply, publish, sync).
- Legal / safety when required to comply with law, enforce terms, or protect rights and security.
7. Data retention
We retain account and workspace data while your account is active and as needed to provide the Service. Connected-platform content may be retained in your workspace until you delete it, disconnect the integration, or close your account, subject to backup and legal retention requirements. You may request deletion by contacting us at the email above.
8. Security
We use administrative, technical, and organizational measures designed to protect information, including encrypted transport (HTTPS), access controls, and hashed passwords. No method of transmission or storage is 100% secure; please use strong credentials and limit workspace invites to trusted people.
9. Your choices and rights
Depending on your location, you may have rights to:
- Access, correct, or delete personal information we hold about you
- Export certain workspace data
- Withdraw consent or disconnect third-party integrations
- Object to or restrict certain processing
To exercise these rights, email support@pulsehq.ai. We may need to verify your identity and workspace authority before fulfilling a request.
10. International transfers
We may process information in countries other than where you live. Where required, we use appropriate safeguards for cross-border transfers.
11. Children’s privacy
PulseHQ is intended for business users. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Continued use of the Service after changes means you accept the updated policy.
